Privacy Policy
Vetis (“Vetis”, “we”, “us”, or “our”) provides AI-powered knowledge and personal-memory tools, including the Vetis web application, Vetis (persona-driven journaling and digital-twin features on iOS, Android, and web), and related services. This Privacy Policy explains how we collect, use, store, and share personal information when you visit our websites (including pages that describe or link to Memo), use our apps, or contact us.
1. Who we are

2. Scope
This policy applies to information collected through our public websites (including Vetis marketing pages), the Vetis and Vetis applications at app.vetis.ai and associated mobile apps, optional cloud backup and sync you enable, and communications you have with us (such as support email). Product-specific terms may also apply when published; until then, this policy is the primary description of our data practices for Memo.
3. Information we collect
Depending on how you interact with Vetis or Vetis, we may process the following categories of information:
- Account and profile data: such as email address, name or display name, authentication identifiers, subscription or billing status where applicable, and preferences you set in the product.
- Content you choose to store: for Vetis, notes, files, attachments, search queries, and other material you upload or create for knowledge management. For Vetis, this includes chat messages with personas, generated diary entries, memory timeline items, persona configurations, and related metadata needed to provide journaling, recall, and synthesis features. This is processed to provide the service you request.
- Usage and technical data: such as device type, operating system, app version, browser type, approximate location derived from IP address, log timestamps, feature usage, error reports, and performance diagnostics, to operate, secure, and improve our services.
- Communications: messages you send us (for example via contact@vetisai.com or in-product feedback), including their content and metadata.
- Billing information: if you purchase a paid plan, payment processing is typically handled by a third-party payment provider (such as app-store billing on mobile); we may receive limited billing details (such as transaction status and partial payment identifiers) but not your full card number.
4. Vetis: local-first storage and your choices
Vetis is designed around local-first storage: chats, journal entries, and your memory timeline are stored on your device by default. We do not require your personal journal content to reside on our servers for core capture and browsing features.
- On your device: Memo content you create is kept in local app storage unless you use features that involve optional cloud services described below.
- Optional encrypted backup and sync: if you turn on cloud backup or sync, a copy of selected data may be stored in our cloud infrastructure using encryption (for example AES-256). Backup keys are designed so that only you hold usable decryption keys—we cannot read your backup contents in ordinary operation.
- Optional cloud AI: when you use AI chat, daily entry generation, memory recall, or similar features that rely on cloud models, Memo may apply on-device masking of sensitive spans (our Privacy Proxy) and send only de-identified fragments to inference providers you opt into. Identifiable journal content is not sent for those paths in identifiable form by design.
- Deletion: you can delete individual items or clear data from your device through in-app controls. Where you have enabled encrypted backup, you may also delete corresponding copies in backup when the product provides that control. Account deletion is described in Section 8.
Memo does not use your identifiable chat or journal content to train public foundation models. We may use aggregated or de-identified telemetry to operate and improve the service, as described in Section 5.
5. How we use your information
We use personal information to:
- Provide, maintain, and improve Vetis and Vetis features, including AI-assisted search, knowledge organisation, persona chat, memory synthesis, and recall;
- Operate optional sync, backup, and cloud inference you enable;
- Authenticate users, prevent fraud and abuse, and protect the security and integrity of our systems;
- Communicate with you about the service, updates, security notices, and (where permitted) marketing;
- Comply with legal obligations and enforce our terms; and
- Analyse aggregated or de-identified usage to understand how our products are used.
6. Legal bases (UK and EEA)
Where UK GDPR or EU GDPR applies, we rely on one or more of the following: performance of a contract with you; our legitimate interests (for example securing our services, improving features, and limited analytics), balanced against your rights; compliance with legal obligations; and consent where required (for example certain cookies or optional communications).
7. Sharing and processors
We do not sell your personal information. We may share data with:
- Service providers who assist us with hosting, infrastructure, optional encrypted backup storage, email delivery, analytics, customer support tooling, security monitoring, payment processing, or AI inference (only with de-identified payloads where Memo’s Privacy Proxy applies), under strict contractual terms;
- Professional advisers where necessary (for example lawyers or accountants); and
- Authorities when required by law or to protect rights, safety, and security.
Some providers may process data in countries outside the United Kingdom or European Economic Area. Where we transfer personal data internationally, we use appropriate safeguards recognised under applicable law (such as standard contractual clauses) where required.
8. Retention and deletion
We retain personal information only as long as needed for the purposes described in this policy, including to provide the service, meet legal, tax, or accounting requirements, resolve disputes, and enforce agreements. When retention is no longer necessary, we delete or anonymise data in line with our internal procedures.
For Vetis, data you delete on your device is removed from local storage subject to normal device behaviour (for example secure erase on supported platforms). If you delete items while encrypted backup is enabled, we process deletion of the corresponding backup copies within a reasonable period, subject to technical limits and legal holds. If you delete your account, we remove or anonymise account-linked cloud data (including backup, where applicable) according to this policy, except where we must retain limited records for legal, security, or billing purposes.
9. Security
We implement technical and organisational measures designed to protect your information, including encryption in transit (such as HTTPS/TLS), encryption at rest for optional Memo backup where enabled, and access controls limiting who at Vetis can access operational systems. Memo’s local-first design reduces routine exposure of journal content on our servers. No method of transmission or storage is completely secure; we encourage you to use a strong password, protect your device, and safeguard backup recovery keys where applicable.
10. Your rights
Depending on your location, you may have rights to access, correct, delete, or export your personal data; restrict or object to certain processing; withdraw consent where processing is consent-based; and lodge a complaint with a supervisory authority. For Memo, you can delete content in the app (including from local storage and, where supported, encrypted backup) and request account-level deletion by contacting us. To exercise these rights, email contact@vetisai.com. We will respond in accordance with applicable law.
11. Cookies and similar technologies
Our website and application may use cookies and similar technologies for essential operation, preferences, security, and (where allowed) analytics. You can control cookies through your browser settings; disabling some cookies may affect functionality.
12. Children
Vetis is not directed at individuals under 16 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children. If you believe we have collected such information, please contact us and we will take steps to delete it.
13. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised version on this page and update the “Last updated” date. Where changes are material, we will provide additional notice as appropriate (for example by email or in-product notification).
